The benchmark report: what does it contain?

From first page to personal conclusion: this is how to structure a benchmark report participants actually want to read.

The benchmark report: what does it contain?

Who the report is for

The biggest difference from a classic research report: a benchmark report is for the participant, not just the client. Every respondent receives their own copy, built around their own answers. That shapes the entire structure: no lengthy methodological accounts, but immediate insight.

The standard components

A good benchmark report contains a short introduction and reading guide, followed by each theme showing the participant's own answers next to the group average, presented in clear charts. Notable differences are highlighted: where is this organisation ahead, where are the blind spots? The report closes with a personal conclusion and a concrete next step.

The art is in leaving things out: a report that can be taken in at a glance gets read and discussed. That is why every BenchLab report fits on a limited number of pages, with one message per page.

The comparison

The heart of the report is the comparison. It is always anonymised: the participant sees percentages and averages of the comparison group, never the answers of another individual organisation. The more relevant the comparison group, the more valuable the report. Comparing with industry peers of similar size says more than a broad market average.

Brand style and form

A benchmark report appears in the brand style of the organisation running the study: its own logo, colours and tone of voice. With modern benchmark software, the report is generated in real time, immediately after a participant completes the questionnaire, and can be regenerated at any moment with the current state of the data.

Personal conclusions with AI

Increasingly, AI writes the personal analysis: a summary of how the participant compares to the group, where the blind spots are and which actions are obvious. Not a standard text, but a conclusion based on the specific answers. For the team running the study, AI also flags conversation topics per participant.

From report to conversation

The report is not an end point but a starting point. In practice it is handed over and discussed in person: a specialist walks through the results with the participant and provides interpretation. In our own benchmark study among more than 450 commercial decision-makers, that conversation is the standard next step, and that is exactly where the value is created.
